Meet Ember

Coralie’s Right-Hand Woman
Personal Assistant · Documentation Agent in Training · Registration Agent
Specializing in Filing, Tracking & Follow-Up
Her real sweet spot
Closed? Now You’re Probably Going to Hear From Ember.
Once your transaction closes, the paperwork isn’t necessarily finished. USCG filings need to be submitted and tracked. State title and registration work may still need to be completed. Additional information may be needed. And sometimes one government process has to happen before the next one can even begin.
Ember is our post-closing catch-all.
She works closely with Coralie to keep filings moving, track what’s happening next and follow up when we need something from you.
If you’ve closed and you’re wondering
- “Where are we with the Coast Guard?”
- “Has my state paperwork been filed?”
- “Are you waiting on anything from me?”
- “What happens next?”
Ember is the one to call.
Her role
So What Exactly Does Ember Keep Track Of?
USCG Filings
Electronic filing, tracking and follow-up.
State Filings
Title and registration paperwork and outstanding requirements.
What We're Waiting For
Missing documents, information, signatures or funds required for the applicable filing.
What Happens Next
Files where one step must occur before another can move forward.
Customer Follow-Up
Calling or emailing when WaterProof needs something from you.
Post-Closing Status
Helping customers understand where their paperwork is after closing.
Follow-up
Missing Something? Ember Will Call.
New Vessel Name?
If you're documenting a vessel and haven't provided the new vessel name, Ember may be calling.
Hailing Port?
Still haven't chosen one? Ember needs that too.
Vessel Name Issue?
If information submitted for the vessel name or hailing port cannot be accepted by the Coast Guard as submitted, Ember will contact you so we can address it.
Missing State Document?
If something required for your state title or registration transaction is missing, Ember will follow up.
Sales Tax?
If we're waiting on sales tax or information needed to complete the state transaction… you guessed it. Ember will call.
Systems and patience
Ember vs. the NVDC eStorefront
The Coast Guard’s electronic filing system is wonderful… when it’s working. The NVDC eStorefront is still relatively new and periodically becomes unavailable for maintenance or other interruptions.
When that happens, Ember is the one keeping an eye on it and checking back so eligible filings can be submitted when the system becomes available again.
“If refreshing the NVDC eStorefront were an Olympic sport, Ember would at least be in contention.”
New boat? Never documented? There may be an extra step.
An important distinction
Coralie + Ember
Coralie handles the technical review, strategy and the “what does this file actually require?” side of the transaction.
Ember helps make sure the answer doesn’t sit in a folder waiting for someone to do something with it. She files. She tracks. She follows up. She keeps an eye on what’s next.
Together, they keep the file moving.
Her background
From Taking Care of Tables to Taking Care of Vessel Files.
Before WaterProof, Ember came from the restaurant and service industry. Turns out, learning to anticipate what people need, remember a ridiculous number of details and juggle multiple priorities translates surprisingly well to vessel documentation.
She’s a quick learner, extremely detail-oriented and has an uncanny ability to remember customers and their files. She has worked in the marine documentation industry for approximately two years, side-by-side with Coralie.
“The restaurant industry taught her how to take care of people. We’re teaching her how to take care of their boat paperwork.”
Closed and wondering where your paperwork is?
